The sounds of coughs and sneezes echo through the office, as you work frantically to get through the day. You are getting contaminated over and over with millions of bacteria. Three days later you wake up with that feeling, yes that feeling that you are too coming down with something.

Its quite possible that work is quite literally making you sick. Most colds and flu viruses are transmitted via surfaces. Touching these surfaces transfers these little critters directly to your nose, eyes and mouth. A normal office worker touches upto 30 surfaces in a minute.

Thats right ! Telephone, keyboard, mouse, coffee machine, photocopy button, printer, fax, cellphone these are just some of the germ traps. The dirtiest traps being your phone and desk area.

STAY HEALTHY THIS WINTER ! Here are ome Tips and Tricks to keep those germs at bay.

Use your knuckles to press the “Copy” button on the copier as well as the elevator buttons
Keep alcohol based hand sanitiser close by and “wash” your hands regularly
Wipe down your keyboard and mouse and surfaces regularly with disinfectant.
Wipe your telephone mouthpiece and earpiece with Listerine regularly.
Take vitamin C to help boost immune defences
Ensure air conditioners filters are clean and replaced regularly

These are just some tips and tricks you can do to keep yourself in good health. That way you can beat the winter blues away unless you just want a Benalyn day ?

Phone Scam Hits SA

A month or two ago, one or two of our clients called in saying they got a call from Microsoft re an update that must be installed. Fotunately the clients called us and we immediately stated that it was suspicious. The scammers call you and impersonate “Microsoft” staff or that of an “Anti Virus” company. The ask you to go to your computer and check some arb things and then speak you through opening up your machine so they can remote on and fix it.

The thing with this is that they get access to your computer where they can then steal your information, or worse yet capture your banking usernames and passwords.

It is vital that all our clients take note, all support calls will come from our office, where you would have been issued a support ticket. We will also not get any supplier to call you and ask you to make changes on your computer. Microsoft and Antivirus companies will not call you as they do not offer free support.

Please do not entertain these people, they are scammers, and the area they take you to on your computer will always show errors as its a logging area of windows that logs every fault. Please do not follow these people instructions, should you be concerned that your PC has been compromised please turn off your computer and call us immediately.

Eskom Leaves SA Business’ in the Dark AGAIN !

Ok so surprise, surprise Eskom shocked us this year by saying we can expect rolling load shedding. Their reason was simple yet politically evasive, ” we have shortage of capacity” Well we all know what they are short of !

So even though we have had 120% increase in electricity so that we can avoid this costly exercise, its seems the fat cats need more buck to keep their coffers lined.

They say forewarned is forearmed, so take a look at the load shedding schedules to see where your business fits in so you can take the necessary precautions.

REMEMBER – Electrical equipment such as computers and the like will not be covered by insurance if they are not fitted with surge protectors and a suitable UPS.

Check your insurance policy to make certain what you are and are not covered for.

There is a saying that goes “Good riddance to bad rubbish” and that is how many business owners are feeling after a tough and unpredictable 2011. We saw that South Africa however more resilient is still feeling the after effects of the recession. 2012 does not bring with it all the answers but it does bring about optimism and new opportunities to do things differently.

With the belts tightened in 2011 we still saw small growth in business from the previous year, and in true resilient SA style business people found more cost effective ways to do business. One of the major growth areas were online, where business is South Africa has finally caught up with the social media trends and have begun with social and online marketing.

SA Business has begun to see the value in Facebook, Social Commerce like Groupon, and having an online presence. Businesses also became customer orientated and customer focused, investing time and energy into CRM (Customer Relationship Management) tools. Finding new ways to get and keep new clients is not a small task especially with staff who are used to order taking and not order making.

Business owners began re-skilling their staff to create better and lasting customer relationships, as well as managing them better. Using these varied skills SME’s were able to even grow their customer databases in this unsteady market.

2012 Shows great promise in these areas and we are definitely seeing a trend towards online marketing, social marketing and CRM systems implementation. After all you have the customers already.

Prepare For Pastel Accounting Financial Year End

Its that time of year again, when we need to run around preparing for the end of the financial year. We have put together some tips and tricks to help you get through this time unscathed and stress free.

Backup your data not once, not twice, but three times, in different locations eg. memory stick, CD and hard disk or Network Drive.
Print your Trial Balance and Balance sheet and check for any anomalies.
Correct balances with journals and write off bad debts and clear rounding amounts.
Reconcile your Vehicle asset accounts and journal the interest and capital payments.
Update bank recon and ensure you are in balance.
Do your year end stock take.
You should be going into your 13th period at the end of Feb which then gives you a few weeks for correcting journals.
If you finance assets ensure you have requested the interest certificates which lets you know what you have paid on the capital for the year.
Process your depreciation journals.
Confirm the balances of your customer statements and supplier statements, this helps with correcting incorrect balances or outstanding credits or invoices.
